📣 May is National Preservation Month!

It’s time to celebrate Preservation Month with us this May. As our nation approaches the 250th anniversary of the Declaration of Independence, we’re reflecting on the places that bring its most powerful promise to life, that “all people are created equal.” These historic spaces tell the story of who we are and how far we’ve come on our journey toward a more perfect union.

South Georgia Archives is excited to support the Albany and Dougherty Historic Preservation Commission with the Preserving History Scavenger Hunt throughout the month of May. With 30 challenges, this community-wide adventure invites you to explore Albany’s history, rediscover local landmarks, and celebrate the people working to preserve them.

Preservation Month is a moment to honor the places that spark joy, inspire wonder, and connect us to our shared story. The places that make us who we are deserve to be celebrated and protected.

Pick up your scavenger hunt form at any of the participating locations listed on the flyer, including Thronateeska Heritage Center, Albany Area Arts Council, Albany Civil Rights Institute, the Albany CVB, and the Planning & Development Department.

Records & Information Management Month Tip #1 📁

To manage records effectively, it is important to understand the records lifecycle. A record is a living document, and knowing its stage helps ensure proper handling, compliance, and retention.

The 4 stages of the records lifecycle

1️⃣ Creation
This is when a record is created or received. It documents an activity, transaction, decision, or obligation.

2️⃣ Use
During this stage, the record is actively accessed, referenced, or updated to support daily work, legal requirements, or business needs.

3️⃣ Maintain
Once a record is no longer needed for frequent use, it is maintained securely, either physically or digitally, to protect its integrity and accessibility in accordance with retention requirements.

4️⃣ Final Disposition
At the end of its retention period, records are either transferred to an archive for long term preservation or securely destroyed in accordance with approved policies.

Understanding each stage ensures records are managed responsibly from beginning to end.
